Press Release Distribution: How to Choose a Service
Press Release Distribution: How to Choose a Service

Choose a press release distribution service by matching it to the audience that needs the news, then compare written quotes for the same release. Business Wire lists $475 to $940 as starting prices for a 400-word U.S. release, and PR Newswire lists $355 to $850 plus an annual membership fee. Distribution places copies of your release. It does not guarantee independent coverage or AI citations.

Who should use this press release distribution guide?

This press release distribution guide is for communications and marketing leads who are deciding whether to pay a wire or distribution service for an announcement. Write the release first, using how to write a press release, then use this guide to choose where to send it.

What does a press release distribution service deliver?

A press release distribution service delivers syndicated copies of your release, and it does not deliver independent coverage, referral traffic or AI citations on its own. Keep the four outcomes in the table separate when you read a vendor's claims.

OutcomeWhat it isHow to check itWhat a vendor can promise
Syndicated copiesYour release republished by the service or its partner sitesAsk for a live-link report after distributionPlacement of copies on its network, as its documentation describes
Independent coverageA journalist writes a story of their ownMedia monitoring and searchNo coverage guarantee
Referral trafficVisits that arrive from the releaseYour analytics, with tagged linksReported clicks on tracked links, not business results
Observed AI citationsAn AI engine names the release or its coverage as a sourceRepeated prompt testing with logsNo citation guarantee

How do you compare press release distribution services?

Compare press release distribution services on the seven criteria below, and ask each provider for its answers in writing. Use one release, with the same text, assets and links, for every quote.

CriterionWhat to ask for in writing
Audience relevanceWhich circuits, lists or industries receive the release, and how they are chosen
Distribution destinationsA list of where copies appear, and which placements are guaranteed or optional
ReportingWhat the report shows, how soon it arrives and in what format
Editorial reviewWhether staff review the release and what they check
MultimediaWhich assets are supported and the cost of each
SupportHours, channel and response time commitments
Total chargesBase price, word count rules, add-ons, taxes, membership and setup fees

How much do Business Wire, PR Newswire and GlobeNewswire charge?

Business Wire and PR Newswire publish starting prices on their own pricing pages, and GlobeNewswire does not list prices on the pages checked for this guide. The figures below come from each provider's pricing page, checked on October 7, 2026.

ProviderStarting price for a 400-word releaseNotes from the provider
Business Wire$475 for most U.S. state, metro or city circuits. $510 for any U.S. regional circuit. $940 for any U.S. national circuit. The page calls these starting price estimates and offers further pricing details on request. It offers flat-rate subscription packages with unlimited word count for multiple releases.
PR Newswire$355 for any state circuit. $650 for any Top Markets circuit. $850 for a national circuit.Bundles of four releases with a company logo cost $2,395 for state, $3,095 for Top Markets and $3,895 for national circuits. The page states that PR Newswire is a membership organization subject to an annual fee. Each listed option includes 24/7/365 editorial and support help, an SEO team, unlimited hyperlinks and a visibility report.
GlobeNewswire (Notified)No price list found on the pages checkedAsk Notified for a written quote.

Read each provider's page directly: Business Wire's U.S. pricing page and PR Newswire's pricing page. Notified, which owns GlobeNewswire, publishes comparison pages that claim no extra charge for logos, microlists or additional trade categories, and that describe a partnership with Profound to show how often a release is viewed by AI bots and cited in AI answers. Treat both as vendor claims and ask how each is measured.

Third-party comparison sites quote conflicting prices for the same providers. One lists a Business Wire entry price of $400 and another lists $760, while Business Wire's own page lists $475 for local circuits. Use the provider's page or a written quote for your budget.

What does Everything-PR research show about wire distribution?

Everything-PR's press release retrieval study found that 47 of 250 wire-distributed releases (19%) were cited by at least one AI engine within 90 days. The sample came only from PR Newswire and Business Wire releases from the first quarter of 2026, so the study cannot rank services against each other. It reports editorial pickup as the strongest predictor of citation and found no citations for 50 award, certification and partnership releases. Read the press release retrieval study for the method.

Everything-PR's wire service citation audit tested five wires on 24 prompts, with direct testing on Claude and Google AI Overviews only. By this guide's arithmetic, its headline shares of 31.3%, 18.8%, 16.7% and 12.5% equal point totals of about 30, 18, 16 and 12 out of a possible 96, so read them as a pilot and not as market share. See the wire service citation audit.

Both pages use illustrative or third-party price figures in places. Use provider pages or written quotes for your own budget. For provider background, see the Business Wire company profile and the PR Newswire company profile.

How do you request and compare press release quotes?

Request quotes in the order below, so every provider prices the same release on the same terms.

  1. Decide the goal: an investor notice, regional news, a trade audience, search presence or a record of the announcement.
  2. Prepare one release, with fixed text, assets and links, for every quote.
  3. Ask each provider for a written quote for that release.
  4. Fill in the comparison table and mark every blank as a question.
  5. Compare the total charge, not the starting price.
  6. Ask for a sample report before you buy.
  7. After sending, measure each of the four outcomes separately.

What documents do you need before you buy distribution?

Prepare the final release text with approved quotes, the multimedia assets with captions, and the target audiences and geographies. Add tracked links for analytics, plus a budget ceiling and the name of the person who approves spending.

Which checklist should you run before you send a release?

Run the checklist below before you pay for distribution.

  • The goal names an audience, not a volume.
  • One release was used for every quote.
  • Written quotes include word count, add-ons, taxes and fees.
  • You reviewed a sample report.
  • You will track the four outcomes separately.
  • No coverage or citation promise has been accepted as a deliverable.

Request written quotes from at least two providers for the same release, fill in the comparison table, and buy only from the provider whose answers you can verify.
