Background: Wakulla County is seeking proposals from firms to provide marketing, social media development and website update and support for the TDC of Wakulla County, Florida. The Proposer must have knowledge of nature and heritage-based tourism marketing, strategies and show innovative ideas in the areas of social media marketing, content creation and specific targeting to Florida-based destinations.

The Proposer must also have experience with brand development and management; marketing; social media strategy, implementation, and management; website design, development and support and market research.

Scope of Work: The successful Proposer will have the proven ability to provide the Services outlined in this RFP and in particular the following specific requirements and conditions. This scope outlines the services and deliverables to be provided to the Wakulla County Tourist Development Council (Visit Wakulla) to enhance its brand presence, engage with the target audience, and promote tourism in Wakulla County. The scope of work includes, but is not limited to:

Deliverables

Graphic Design

  • Creation of 5 visually appealing graphics for digital and print media per month.
  • Provide a fee scheduled for any additional graphic requests if more than 5 per month are needed.
  • Development of promotional materials.

Social Media Management

  • Social Media Scheduling: Plan and schedule 5 posts per week across various social media platforms, to be approved by the Tourist Development Coordinator on a quarterly basis.

  • Plus Post: Draft and publication of up to 3 plus posts per month. A plus post is an additional social media post outside of approved quarterly social media posts.
  • Content Creation: Develop engaging content including posts, stories, and videos.
  • Management: Monitor and respond to social media interactions, manage campaigns, and increase follower engagement.

Website Maintenance and Design

  • Regular updates and maintenance of the Visit Wakulla website.
  • Update the Visit Wakulla event calendar with current and upcoming events.
  • SEO optimization to improve search engine rankings and visibility.

Annual Marketing Plan

  • Development and execution of a comprehensive Annual Marketing Plan.
  • Strategic planning to align with tourism goals and objectives.

Meeting Attendance and Reporting

  • Attend Wakulla County Board of County Commission Meetings and Tourist Development Council Meetings, which would include 6 (or more) Tourist Development Meetings and 1 (or more) Board of County Commission Meetings as requested by Tourist Development Coordinator.

Market Research

  • Conduct annual market research to understand tourism trends and target demographics.
  • Analyze data to inform marketing strategies and campaigns.

Copywriting and Research Services

  • Research and write accurate copy for promotional materials.

Contract Handoff

  • Ensure a smooth handoff of all materials, accounts, and information to new contract holder on behalf of Visit Wakulla three months prior to contract expiration.

Email Marketing

  • Design, copywrite, research topics, and send a monthly email newsletter to subscribers. Monthly emails will be approved on a quarterly basis by Tourist Development Coordinator.
  • Create engaging content for email campaigns.

Blog Development

  • Write and publish 1 blog post per month to highlight attractions, events, and stories from Wakulla County.
  • SEO optimization for blog content.

Public Relations (PR) Support

  • Provide ongoing PR support to promote positive coverage of Wakulla County.
  • Emergency PR support as requested to manage any unforeseen crises or issues.

Monthly Reporting

  • Generate and present monthly reports on website performance, advertising, and social media metrics
  • Generate and present a monthly report on any Annual Marketing Plan initiatives.

Ad Management and Placement

  • Manage and place advertisements across various platforms, as directed by Annual Marketing Plan and/or Tourist Development Coordinator.
  • Develop ad profiles and targeting strategies to maximize reach and effectiveness.

Video and Photo Editing and Licensing

  • Provide a fee schedule on a per video and per photo basis for editing services, to be utilized as requested.
  • All photos or videos used to represent Visit Wakulla in promotional material or in association with the Visit Wakulla account must be officially licensed for use by Visit Wakulla

Expectations and Responsibilities:

  • Communication: Maintain open and regular communication with the Wakulla County Tourist Development Coordinator.
  • Timeliness: Adhere to agreed-upon timelines for all deliverables and project milestones.
