The objective of this solicitation is to obtain proposals from qualified professional marketing and/or special events firms to plan, organize, and administer Fairfax City’s Annual Winter Restaurant Week program and a new summer week highlighting city restaurants on behalf of the Fairfax City Economic Development Authority and Central Fairfax Chamber of Commerce. This collaboration is undertaken annually as a program designed to highlight and grow the strength of Fairfax City’s restaurant community.

This collaboration is undertaken annually as a program designed to highlight and grow the strength of Fairfax City’s restaurant community.

The EDA is seeking a firm or firms that are knowledgeable, creative, and can provide direction, innovative ideas and leadership for growing the Restaurant Week program. The program must include a winter and summer Restaurant Week program. The program outline is not all inclusive but is provided to give an idea of the minimum level of performance required. Therefore, we are looking for submissions that go beyond the program outline below:

• Work with the Restaurant Week Committee and City Staff to Plan a Winter and Summer Restaurant Week program

o Develop event plan and budget.

o Conduct outreach to restaurants on logistics of program.

o Determine program dates.

o Determine menu structure/price points.

o Increase the number of restaurants participating from years past.

o Determine participation fees.

o Plan promotional activities to support Restaurant Week.

• Recruit Fairfax City Restaurants to Participate in Both Winter and Summer Restaurant Week events

o Distribute paper based enrollment forms.

o Create and maintain an online enrollment form.

o Collect enrollment forms and fees.

o Collect menus and publish on Fairfax City Restaurant Week.

o Distribute promotional materials/advertising to participants.

• Develop and execute a Marketing and Public Relations Plan

o Develop and execute marketing and public relations campaign that brands Fairfax City as a dining destination, increases sales, drives traffic to FairfaxCityRestaurantWeek.com, social handles, and increases sales revenues.

o Plan and produce collateral materials, displays, brochures, window decals for each restaurant, posters, flyers/postcards, banners, etc. to create interest in the program.

o Plan and direct public relations print, online, broadcast, editorial coverage, and publicity to create interest in the program.

o Develop a plan and budget.

o Create and/or update campaign look to include photos, videos, and press kit materials.

o Determine types of media, secure media placements, and editorial calendar opportunities.

• Social Media and Digital Marketing

o Vet, procure, create opportunities, and manage relationships with digital influencers.

o Suggest, create, and manage content for Facebook and Instagram accounts to include interacting the public, a social media video, and media campaigns.

o Facilitate and upload “Chef Chat” videos highlighting participating city restaurants for inclusion on social channels.

o Manage and update content for the Fairfax City Restaurant Week website, fairfaxcityrestaurantweek.com.

• Evaluate the Restaurant Week Program and Prepare Reports for the Committee and Mayor/City Council
